TOUR CONDITIONS
Reservation, Deposit, and Refund: An initial deposit of $200 per person is required to hold space on a scheduled tour. The initial deposit is refundable up to 6 weeks before departure. However, if funds have been expended from the deposit for non-refundable expenses from suppliers, those funds are not refundable to the client. An example would be the purchase of a foreign visa. If an amount in excess of the deposit has been expended on behalf of the client for non-refundable expenses from suppliers, the client is responsible for payment of the full amount of such funds, and payment is due at the time of cancellation. Remaining Payments and Refunds: International tickets and foreign domestic tickets are normally purchased from 6 months to 6 weeks before departure. For late reservations, the ticket will be purchased as soon as payment is made for the ticket. Refund of ticket price is determined by the airline issuing the ticket or the wholesale ticket agent selling the ticket. Usually, the discounted tickets purchased for Nine Dragons Travel & Tours itineraries are non-refundable tickets. There are charges made by the airlines for changes on your ticket once the ticket is purchased. The charges vary with different airlines. The balance of the tour price is due 6 weeks before departure, at the time of making a reservation, or at the time of billing, whichever is latest. Up to six weeks before departure, all unexpended payments are refundable. Other than the initial deposit (which is not refundable within six weeks before departure), from six weeks to two weeks before departure, there is a cancellation fee of 10% of the balance of the tour cost. Within the last two weeks before departure, no refund will be made. If the tour has not been cancelled and full payment has not been made by two weeks before departure, the balance on the full cost of the tour is owed and payable immediately. If the tour is cancelled prior to two weeks before departure but less than six weeks before departure and an amount equal to the $200 initial deposit plus 10% of the balance of the remaining tour cost has not been paid, then the balance equal to $200 plus 10% of the remaining balance of the full cost of the tour is payable and due at the time of cancellation. Note: for some groups, a contract may be negotiated with variation from the policy stated here. Trip Cancellation Insurance: Nine Dragons Travel & Tours offers a comprehensive travel insurance package which includes trip cancellation. To protect your payments should you have to cancel your trip prior to departure or interrupt or terminate your tour after it begins, we recommend that you obtain travel insurance coverage. Included in the tour price: Your tour itinerary states what is included and excluded in the tour price. Nine Dragons Travel & Tours specializes in all-inclusive tour packages. This means that very few expenses of your tour are not included. Changes to the general policy can be made to accommodate your wishes.
Travel Documents: For travel to most destinations, a United States citizen must be in possession of a valid passport, usually valid for at least six months beyond the dates of travel. Passports may be obtained by applying at a U.S. Post Office, U.S. Passport Agency office, or Federal District Court. Visas are required for traveling to some destinations. Visa requirements vary with different countries. Nine Dragons Travel & Tours will advise you and assist you in obtaining proper visas for travel to various countries. Nine Dragons Travel & Tours is not responsible for lack of required travel documents, errors in travel documents, or loss of travel documents. Final Documents: Between two and three weeks before departure, tour members will receive final documents which typically include airline tickets, visas, a final itinerary, names of contact persons at travel destinations with addresses and telephone numbers, hotel information, tour participant list, luggage tags, and other tour information. Exchange rates and airfares: All rates for land and air arrangements are based on the value of the United States dollar in relation to foreign currencies and tariffs in effect at the time of publication of prices or at the time of making an initial reservation. Airfares are not guaranteed until purchase of tickets, as airlines are continually changing fares, and prices stated at booking are not guaranteed by airlines until paid in full. Therefore, prices are subject to change. Meals: Meals are typically included in tour itineraries. Check your itinerary for any exceptions to the full-board policy of Nine Dragons Travel & Tours.
Transfers: All transfers between airports and hotels are included in travel arrangements with Nine Dragons Tours unless stated otherwise in the itinerary. Taxes: Typically, all hotel, national, and local taxes and service charges are included with your tour. Departure taxes and domestic airport taxes from airports in countries that charge such tax are usually included with escorted tours (where a company-employed escort accompanies the travelers from the US to the overseas destination) and excluded on unescorted tours.
Tips: Gratuities for chambermaids, hotel porters, and waiters/waitresses are covered by a 10% to 15% prepaid service charge. On group tour itineraries with an escort provided, guides and drivers receive a gratuity from Nine Dragons Travel & Tours. Tourists are under no obligation to offer an additional tip for guides and drivers, but if you are pleased with the service you have received, an additional gratuity is customary and appreciated by guides and drivers. It is also customary to recognize the good service of your tour escort with a voluntary gratuity. On unescorted tours, Nine Dragons Travel & Tours does not provide a tip for your guides and drivers; the only tip they would receive would be from you. For further information on tipping, request Nine Dragons Travel and Tours’ guidelines. Baggage: It is recommended that you travel as light as possible. Porterage in airports, train stations, and port facilities is not included in your tour price. In many places, such services are not available. Airlines have limitations on number of bags, size of bags, and total weight of luggage. These requirements vary with different airlines. Nine Dragons Travel & Tours cannot be responsible for loss, damage, or theft of luggage or for items contained in the luggage. The optional travel insurance made available by Nine Dragons Travel & Tours contains coverage for baggage loss. Custom itineraries: Pricing for custom itineraries is determined in the same manner as for group itineraries, that is based on the cost of providing the tour to the client. However, additional time is required to create a custom itinerary which may require numerous consultations with the client until an itinerary is determined. Therefore, included in the cost of a custom itinerary is a charge ranging from $50 to $100. This total charge is the same for any size group. In other words, whether the custom itinerary is planned for one person or 100 people, the total custom itinerary charge will not exceed $100 for the group. Individuals who request different itineraries from the group itinerary may be charged an additional fee. Itinerary changes: Once the client has accepted an itinerary as evidenced by a signature on an itinerary agreement or a written response to an itinerary (by letter, note, fax, or e-mail), whether it be a land or air itinerary, and wishes to make a change, a change fee of $50 shall be charged each time changes are requested plus any change fee that may be assessed by a supplier such as an airline or inbound tour operator. Changes include, but are not limited to, changes of dates, times, locations, accommodations, or persons on the tour. No fee will be charged for changes made by Nine Dragons Travel & Tours, for whatever reason. For those clients who purchase travel insurance through Nine Dragons Travel &Tours, one change of itinerary will be made without charge. Charge additions or reductions for changes made by suppliers to Nine Dragons Travel & Tours such as airlines or inbound tour operators shall be passed on to the clients through billing or refund. No refunds can be made for contracted services not used by the participants. Neither Nine Dragons Travel & Tours, its employees, nor its suppliers shall be held responsible for lost, stolen, pilfered, or damaged luggage or equipment. All such items are handled at the owner’s risk.
